Why speed to lead matters
A new lead is at their most interested in the minutes after they fill in a form or ring an ad. A widely cited study published in Harvard Business Review in 2011 found that firms that contacted leads within an hour were several times more likely to qualify them than firms that waited even an hour longer, and many took over a day. Whatever your exact numbers, the pattern holds: the longer a lead waits, the colder it gets, and the more likely a competitor calls first.
Why it's hard to measure
Lead response time is the gap between a lead arriving in the CRM and the first real call to it. If calls aren't in the CRM, nobody can work it out. Activity notes don't help either, because a note typed at 5 pm about a call at 10 am looks five hours slow.
Measuring it with Call Manager
Because calls sync from reps' phones with their real start times, the Lead response time report can compare each lead's creation time with its first call. It bands leads from under five minutes to never called, and lists the slowest so they can be worked today.
Two companions make it actionable:
- Never contacted lists open leads with no call at all, oldest first. When every lead has been rung, it's empty, and that's the state you want.
- Matching quality tells you whether to trust the rest. If calls aren't matching their leads, response times look worse than they are.

Five ways to bring it down
- Make it visible. Share the report link in your Monday meeting. What gets looked at gets done.
- Set a daily target for calls handled per rep, and watch the dashboard meters.
